About this policy
Synthe Systems Development Company (“Synthe,” “we,” “us,” or “our”) provides enterprise integration, intelligent automation, and applied AI services. This policy describes how we handle personal information in connection with our public website, business inquiries, and business relationships.
Synthe is formed in the State of Hawaii, United States.
It covers information about website visitors, prospective clients, client representatives, and other business contacts. Synthe is responsible for decisions about the personal information it handles for these purposes.
When we process information on a client’s behalf as part of an engagement, our role and responsibilities are governed by the applicable client agreement, data processing terms, and the client’s instructions. The client’s privacy notices govern its own collection and use of that information. Future products may have additional or separate privacy notices.
Information we collect
Information you provide
When you contact us, we may receive your name, business email address, telephone number, organization, role, correspondence, and the information you choose to include about a project or business need. If a relationship proceeds, we may also receive business contact, contract, billing, and administrative records.
Technical information
Website hosting and security systems may process technical request information such as IP address, browser and device details, requested URLs, timestamps, and diagnostic or security logs. The specific information recorded and its retention depend on the production configuration.
Information from others
We may receive business contact information through a referral, your colleagues, or an organization arranging an engagement. Please share another person’s information only when you are authorized to do so.
Please do not include sensitive personal information, credentials, or confidential production data in an initial inquiry. Where an engagement requires such information, the parties should establish appropriate contractual and security arrangements first.
How we use information
We use information as needed to:
- Respond to inquiries, understand business requirements, and prepare proposals.
- Establish and administer client and supplier relationships, including contracts, billing, and business communications.
- Operate, maintain, troubleshoot, and protect the website and our business systems.
- Keep appropriate business records, comply with legal obligations, and address disputes or misuse.
If we introduce a newsletter or other marketing program, we will explain its data practices and provide an appropriate way to opt in or opt out. A business inquiry does not automatically enroll you in a mailing list.
How we share information
We may disclose personal information where needed for the purposes described in this policy:
- To providers of website hosting, business email, IT services, and business administration, subject to appropriate obligations for their role.
- To professional advisers, such as legal and accounting advisers, where needed for advice or business administration.
- To relevant authorities or other parties where required by law, or where necessary to protect rights, address fraud, or respond to a lawful request.
- In connection with a proposed or completed business reorganization or transfer, subject to appropriate safeguards and legally required notice.
Client data & AI systems
Integration, automation, and enterprise agent projects can involve client systems, documents, tools, model providers, and operational data. Decisions about access, permitted processing, subprocessors, model usage, evaluation data, and retention must be defined for each engagement.
This website policy does not grant permission to use confidential client information or personal information to train models. Any such use must have a separately established lawful basis and authorization under the applicable engagement terms.
Where we act on a client’s instructions, requests concerning the client’s data should normally be directed to that client. We will assist as required by the applicable agreement and law.
Data retention
We retain personal information for as long as needed for its purpose and applicable legal requirements. Relevant criteria include whether an inquiry remains active, the duration of a business relationship, contractual obligations, accounting requirements, limitation periods for legal claims, and security needs. When information is no longer needed, we delete it or de-identify it, subject to applicable retention obligations.
Information processed for a client is subject to the applicable engagement’s return, deletion, and retention provisions. Backup copies may remain until they are overwritten through the applicable backup cycle.
Security practices
We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information and the risks involved. Project-specific access controls, data handling, security responsibilities, and incident procedures are addressed in the applicable engagement terms.
No website, email service, or information system can guarantee absolute security. Please contact us if you believe information shared with Synthe has been compromised.
Where a security incident triggers a legal notification obligation, we will provide the notices required by applicable law.
International processing
Synthe is based in the United States. Our providers may process information in the United States or other countries, where data protection laws may differ from those in your country. Where applicable law restricts a transfer, we will use an appropriate lawful transfer mechanism and safeguards. Contact us for information about a transfer relevant to your personal information.
Your rights & choices
You may contact us to ask about your personal information or request a correction. Depending on the law that applies, you may also have rights to access, delete, obtain a copy of, restrict, or object to certain processing, withdraw consent, or appeal a decision on a request. These rights may be subject to exceptions.
Send requests to ping@synthe.dev. We may need proportionate information to verify your identity or authority before responding. We will handle requests within the time and manner required by applicable law. You may also have the right to raise a concern with the relevant data protection authority.
Where we rely on consent, withdrawing it does not affect processing already carried out lawfully. If you choose not to provide information needed to respond to an inquiry or administer an engagement, we may be unable to complete that request.
Other sites & children
Third-party websites and services linked from this website have their own privacy practices. This policy does not govern their collection or use of information.
Our website and business services are directed to professional audiences and are not intended for children under 13. If you believe a child has provided personal information to us, please contact us so we can investigate and take appropriate action.
Changes to this policy
We may update this policy as our website, business practices, or legal obligations change. The revised version will be posted here with an updated date. We will provide any additional notice or obtain consent where required by applicable law.
